Any tips or best practices when deleting workspaces?

Over the years we’ve collected a fair amount of workspaces in our C.io account and we are now ready to delete some old and unused ones. Are there any tips or best practices we should review and follow before deleting those workspaces? What are the data you’d recommend exporting and how can we do so? Thanks for pointing me in the right direction!

Hi Enrico, great question! 

At the Premium and Enterprise plan levels, there is no limit to the number of workspaces you can have. Often times customers will simply remove the “people” or profiles within these workspaces to stay within their plan limits, but maintain the space to reference the information/data that lived within them. 

However, sometimes the amount of workspaces or relevance of a workspace calls for it’s removal. In this case, we offer a few best practices to follow prior to removing any workspace.

 

Things to consider before removing a workspace:

When removing/deleting a workspace, all content, logs, people, campaigns, metrics, and message activity will be removed. Before removing a workspace, reviewing the list below to ensure your data is properly backed-up or transferred to an existing workspace.

  1. Export your “People.” You can export your complete list of profiles or build a list of those who meet certain conditions. 
    1. Identify what attributes to include
  2. Export Campaign and Broadcast Metrics
    1. Visit your “Analysis” tab to export metrics/reports across your entire workspace
  3. Export “Deliveries and Drafts” data
  4. Identify campaign workflows you’d like to keep and “copy” those workflows to an existing workspace.
  5. Review your  “Data Index” for any events you would like to pass over to a new workspace
  6. Review your “Asset Library” for any assets you’d like to keep
  7. Review “Snippets” for any snippets you’d like to keep
